Managing Leases & Payments
Creating a Lease Contract
- Go to the Leases menu
- Click + New Lease
- Select the property and unit
- Select the tenant
- Fill in lease details:
- Start date and end date
- Monthly rent amount
- Deposit amount
- Payment due date (e.g., 1st of each month)
- Auto-renewal toggle
- Upload the signed contract document (optional)
- Click Save
Billing & Invoices
Estate automatically generates monthly invoices based on active leases:
- Invoices are created on the configured billing date
- Each invoice includes rent, utilities, and any additional charges
- Tenants receive email notifications with payment details
- Track payment status: unpaid, partial, paid, overdue
Recording Payments
- Open the lease or go to Payments
- Find the outstanding invoice
- Click Record Payment
- Enter: amount, date, payment method (transfer, cash, e-wallet)
- The system updates the balance automatically
Maintenance Requests
Tenants can submit maintenance requests, or you can create them manually:
- Go to Maintenance
- Click + New Request
- Select the property, unit, and category (plumbing, electrical, AC, etc.)
- Describe the issue and set priority (low, medium, high, urgent)
- Assign to a technician or vendor
- Track status: open, in progress, completed
Reports
- Occupancy Rate — Percentage of occupied units per property
- Revenue Summary — Monthly and yearly rental income
- Overdue Payments — Tenants with outstanding balances
- Lease Expiry — Upcoming lease expirations for renewal planning
